Use Gemini Apps with a work or school Google Account

Most users with a work or school Google Account have access to Gemini Apps. Feature availability and how your data is handled depends on your Workspace license. 

In the help center, you will find important notifications and tips about info that differs depending on whether work or school users have access to Gemini Advanced or Gemini Apps with enterprise-grade data protections.

Access & requirements for work or school users

Important: To use Gemini Apps with a work account, you must be 18 or over.

You have access to Gemini Apps as a core service with enterprise-grade data protections if you have a qualifying edition of Google Workspace.

If you don’t have a qualifying edition of Google Workspace, you use Gemini Apps as an additional service. To use Gemini Apps as an additional service:

How to check what type of Gemini Apps access you have & troubleshoot upgrade error messages

Check if you have access to Gemini Advanced

Gemini Advanced is only available with certain Google Workspace licenses. To check if you have access to Gemini Advanced with your work or school account:

  1. Go to gemini.google.com.
    • Make sure you’re signed into your work or school account.
  2. On the homepage, check the upper left.
    • If you find the Gemini logo, without Advanced mentioned, you don't have access to Gemini Advanced.
    • If you find the Gemini Advanced logo, you have access to Gemini Advanced.

Tip: If you don’t have access to Gemini Advanced, your Google Workspace administrator needs to upgrade your license to get access.

User limits without Gemini Advanced

Users without access to Gemini Advanced may have additional limits for how much they can use advanced models and certain features like Deep Research.

If you want Gemini Advanced with a work or school Google Account, your organization needs to upgrade to a Google Workspace license that includes Gemini Advanced. Contact your Google Workspace administrator to request an upgraded license.

Check if you have enterprise-grade data protections

Enterprise-grade data protections are available with most, but not all, Google Workspace licenses. To check if you have enterprise-grade data protections with your work or school account:

  1. Go to gemini.google.com.
  2. Make sure you’re signed into your work or school account.
  3. On the homepage, check the prompt box for the shield icon .

  • If you find the shield icon , you have enterprise-grade data protections.
  • If you don’t find the shield icon , you do not have enterprise-grade data protections. Your chats in gemini.google.com may be reviewed by human reviewers and used to improve Google's products, services, and machine-learning technologies.

Use the Gemini mobile app with a work or school Google Account

How to access the Gemini mobile app

To access the Gemini mobile app with your work or school account, you must have access to Gemini Apps. Check if you have a plan or license that includes access to Gemini Apps.

What you cannot do in the Gemini mobile app

If you are using a work or school Google Account, some Gemini mobile app features aren’t available.

The following features are not available for users with a work or school Google Account:

  • Gemini Live
  • Features that are powered by Google Assistant, such quick voice action features
  • Users with a work or school Google Account cannot delete chats or create public links for chats

These features are not available in the Gemini mobile app for users with a work or school Google Account:

  • Connecting to Google Workspace 
  • Gems
  • File upload

Troubleshoot error messages in the Gemini mobile app

If you get an error message when you try to access the Gemini mobile app with a work or school account, check the troubleshooting steps below:

  1. Make sure that you have the most recent version of the Gemini app. In your app store settings, check if there’s an upgrade for the Gemini app.
    • If there’s an upgrade available, upgrade to the latest version.
    • If there isn’t an upgrade available, move to step 2. 
  2. Contact your Google Workspace administrator to confirm you have access to Gemini Apps.

Activity for users with a work or school Google Account

Manage & delete Gemini Apps activity

For users with a work or school Google Account and access to Gemini Apps, Gemini Apps Activity is on and can’t be turned off and you can’t delete your Gemini Apps activity.

Gemini Apps Activity is on by default.

  • When you use the Gemini web app or mobile app with your work or school account, Gemini Apps Activity is on by default and conversation history is saved for 18 months.
  • When Gemini Apps Activity is on, it includes activity from the Gemini web and mobile apps. Clearing your Gemini for Google Workspace history from a Workspace app doesn’t affect information saved to Gemini Apps Activity.
  • Your admin controls whether Gemini Apps Activity is turned on and how long conversation history is saved.

Find your Gemini Apps activity

  1. On your computer, go to gemini.google.com.
  2. Click Settings & help and then Activity .
