Picture Library Privacy Policy

What type of information we have:

We currently collect and process personal identifiers and contact details (including name, address, email and telephone number) of those who register for an account with the Picture Library. We also collect and process data on how individuals use the Royal Society Picture Library using cookies and customer tracking, which is subject to your consent.

How do we get the information and why we have it; What we do with the information we have:

Your data is provided to us directly by you when you register for an account with the Picture Library. Please note, it is not essential to register for an account just to browse the site. Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information is ‘Contract’ (Article 6(1)(b)) necessary for the performance of a contract, which includes:

  • Creation and provision of image license agreement;
  • Ensuring image license agreements are honoured;
  • Creation and provision of lightbox functionality;
  • Creation and provision of other transaction related communications.

How we store your information:

We will retain your personal data for as long as is necessary to fulfil our purposes, storing it electronically and manually in secure Royal Society premises. If you have created a Picture Library account but not purchased an image licence agreement, we will retain your data two years after the last period of activity. If you have purchased a license agreement, we will retain your data for seven years from the expiration of the license for monitoring and accounting purposes. We will notify you 30 days prior to deleting your data in case you wish to reactivate your account.

If you request to have your account deleted and you do not have a live image licence agreement with us, your personal data will be deleted.

The Picture Library uses necessary cookies to deliver our services and one analytical cookie to monitor usage of the site. You can opt out of analytics through our cookie banner, which is provided by OneTrust.
