Talent Acquisition Associate

Sanford Burnham Prebys is a preeminent, independent biomedical research institute dedicated to understanding human biology and disease and advancing scientific discoveries to profoundly impact human health.

The Talent Acquisition Associate performs full cycle recruiting for Scientific and Administrative positions and is responsible for conducting weekly onboarding sessions with our New Hires. The onboarding process includes sending welcome emails and packets to New Hires, communicating candidate expectations, explaining and overseeing all hiring paperwork including I-9s, and coordinating details with Hiring Managers, IT, Facilities, and International Services to ensure a smooth start for our New Hires.

The position requires effective utilization of talent acquisition tools, processes, and programs and enforces HR standards and required compliance practices.

The Talent Acquisition Associate manages the complete candidate experience from Application to Onboarding. This includes conducting Intake meetings with Hiring Managers who have job openings, securing budget approval from Finance, posting and managing job requisitions, sourcing and managing candidate pools, conducting phone screens, keeping meticulous electronic notes, making candidate recommendations, setting up phone, in-person, and online interviews and panels, explaining benefits packages, negotiating compensation packages and start dates, running background checks, checking references, sending and managing offer letters and job acknowledgement's, and helping to facilitate the production of Employee ID badges and parking passes.

The Talent Acquisition Associate will work with International Services to manage VISA and immigration processes for our International candidates. They will also oversee our Intern and Work-Study programs.

The Talent Acquisition Associate will interface with Hiring Mangers in all Institute departments and will work closely with HR Information Systems, IT, International Services, Finance, and Facilities on each role.

Duties And Responsibilities

Works directly with Hiring Managers to develop recruitment plans for filling vacancies for all levels and disciplines of open recruitments:

  • Utilizes traditional and non-traditional recruiting tools and networks to source potential candidates
  • Coordinates selection process by screening applications and conducting phone and in-person interviews and coordinating interviews for others
  • Collects Hiring Manager and team feedback from interviews
  • Coordinates communication with candidates during the interview and hiring process
  • Conducts background and reference checks
  • Supports negotiation process and extends offers
  • Collaborates with International Services to ensure appropriate completion of necessary VISA paperwork for incoming foreign nationals and to assess hiring timelines due to VISA processing timelines
  • Ensures talent programs comply with applicable state and federal laws and follow all procedures within the Institute talent policies
  • Oversees administration and retention of all documents related to recruitment to ensure compliance with regulations and support audits
  • Creates marketing materials when needed for specific roles
  • Provides incoming employees with welcome packets and first day details
  • Performs onboarding processes for new hires
  • Communicates clearly and accurately with Hiring Managers in regards to New Hire start dates
  • Represents HR team with involvement in Institute Programs and Events

Education And/or Experience

  • Bachelor’s degree or equivalent education, training and/or experience from which comparable knowledge, skills and abilities have been attained is required
  • 2-3 years experience in Talent Acquisition/Human Resources
  • 1-3 years experience onboarding employees
  • Professional proficiency in Microsoft Office and technical savvy with Applicant Tracking Systems, online tools, and websites
  • Experience Sourcing with LinkedIn Recruiter
  • Technical and Scientific recruiting experience preferred

Other Knowledge, Skills And/or Abilities

  • Knowledge of recruiting components including, but not limited to, employment policies and practices, legal constraints, sourcing, qualifying and interviewing techniques
  • Demonstrated ability to analyze and interpret applicant data, develop criteria for candidate selection and make hiring recommendations
  • Demonstrated ability to work independently as well as in a team environment
  • Demonstrated ability to handle confidential situations with a high degree of integrity and discretion
  • Being responsible, organized, and a problem solver
  • Proven communication skills, both verbal and written and excellent relationship management skills and people acumen
  • Possess strong attention to detail, analytical, time management, organizational, communication, and interpersonal skills
  • Demonstrates strong sense of urgency for filling roles with quality candidates
  • This is a Hybrid Role requiring a minimum of 3 days per week at our La Jolla campus

Compensation

The expected hiring range for this position is between $56,000 - $75,000 per year commensurate with experience.
