Position Summary

The Chadwick School Registrar manages student information for grades K-12 on the Palos Verdes campus, including student schedules and transcripts. This role works collaboratively with the Director of Information Technology and Divisional Office Managers to manage schedules, transcriptions, and other student information within the school's student information system. The role involves daily interactions and communication with students, families, and often and is an active participant in the life of the school. This job is a 12-month position.

Associated Responsibilities

The Chadwick Registrar plays a pivotal role in the administration of the school by ensuring that student information is well managed in key areas:

Student Record Management

  • Manage current information relating to K-12 students' schedules and grades.
  • Work with Risk Management in the maintenance and archiving of long-term K-12 student records.
  • Develop and maintain expertise in the school's student information management systems (currently Veracross).
  • Work with the divisional offices, as well as the Admissions, College Counseling, and Alumni Office to create and maintain coherent records.
  • Export relevant data and statistical reports for relevant administrators, such as Division Directors, Director of Teaching and Learning, and College Counseling.

Administration

  • Create and maintain student schedules for grades K-12.
  • Ensure that all rosters for academic classes, co-curricular activities, and athletic teams are current and available.
  • Manage and maintain systems for recording and communicating grade reports and transcripts, including an audit of gradebook and GPA data after each grading period.
  • Enter approved grade changes.
  • Track completion of graduation requirements, including an audit of Upper School art and athletic requirements in collaboration with the relevant departments.
  • Generate K-12 students’ transcripts for college counseling and any other requests, such as student transfers, withdrawals, or summer programs.
  • Import and manage external records (i.e. for students transferring into Chadwick).
  • Manage the 6-12th grade book ordering process.
  • Manage the K-12 sign-up process for parent-teacher conferences and advisee-led conferences.
  • Collaborate with the Director of Teaching and Learning and College Counseling Office to maintain accurate course offerings in the UC, NCAA, and AP portals.

Support other administrative responsibilities as assigned during months that are consistently less busy for the Registrar, such as management of:

  • Professional development logistics, such as the People of Color Conference/Student Diversity Leadership Conference, including registration, hotel accommodations, and flights for this conference and others as requested.
  • Some K-12 special event logistics, such as Social Justice Day, including set-up requests, divisional schedules, communications, sign ups, etc. as assigned.
  • DocuSign processes as needed in collaboration with divisional office managers and risk management.
  • Perform other duties as assigned.

Required And Preferred Education, Experiences, And Skills

The Registrar must have the following technical capabilities:

  • A bachelor’s degree is required.
  • Expertise with word processing, spreadsheets, and databases
  • Experience managing complex logistical systems such as schedules
  • Comfortable and flexible adoption of new software and procedures
  • Excellent writing skills

Compensation - $37.00 - $41.00 – Based on qualifications and experience.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENT

  • Required to lift and carry up to a maximum of 25 lbs., in a correct manner consistent with the appropriate training provided by the School.
  • Occasionally required to use hand to finger, handle or feel objects, touch and use tools, reach with hands and arms, climb stairs, bend, stoop, twist, lift, reach, push, pull, grasp, balance, kneel, crouch, crawl, grasp, talk, hear, and walk during the course of employment.
  • Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and an ability to adjust focus.
  • May use telephone, computer, copier, and other office equipment in the course of a day.
  • Required to sit while operating word processing equipment for approximately 6-8 hours daily, repetitive motion for typing and other keystroke needs.
