About The Role
We are seeking a versatile and highly organized individual to join our team as an Office Manager/Receptionist. This role is pivotal in ensuring the smooth and efficient operation of our NYC office.
Primary Responsibilities
Office Management:
Oversee the day-to-day operations of a large two level office space, including but not limited to taking inventory/bulk ordering/restocking/expensing office supplies, food & pantry items, and equipment
Maintaining an organized and tidy facility, ensuring smooth day-to-day operations for the entire team in a fast-paced and high-traffic environment
Assisting in a multitude of Ad Hoc requests from co-workers i.e. processing shipment labels and executing shipment of documents/items, etc
Overall coordination of group team meetings & scheduling internal 1:1’s with the Founder/CEO
Managing office events and large group meetings, including scheduling, logistics, out-of-office reservations and in-office catering (i.e. Monthly Team Lunches)
Receptionist Duties:
Active ‘Front of House’ role, greeting colleagues & guests with professionalism, warmth, and ensuring a positive first impression of the company
Directing guests to the appropriate individual, department, and/or conference room
Helping co-workers and visitors set up for meetings where needed, from providing refreshments to helping pull up presentations on monitors and fixing quick IT issues
Receive incoming mail/packages and distribute accordingly
On-Site Event Support:
Travel to company events (HLTH and ViVE are mandatory, HLTH Europe TBD) and provide on-site support where asked

Workspace: Google Suite (Google Calendar, Gmail, Docs, Sheets, Slides, Google Meet, etc.)
Internal Comms: Slack Team Workspace, Zoom, WhatsApp
Other Apps: Abacus Expense Software, AmazonBusiness, Instacart, Amex Global Business Travel GBT Corporate Travel Software
Requirements
2+ years experience in a similar role
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
Strong attention to detail and accuracy, with excellent written and verbal communication skills
Proficiency in Google Suite, Slack Team Workspace, Zoom, etc
Ability to work independently and collaboratively in a fast-paced, dynamic environment
Professional demeanor, with a positive attitude and customer service orientation
A ‘roll up your sleeves’ attitude
In-Office, 5 days a week
