FUNCTION SUMMARY HR Specialist

The HR Team is dedicated to providing HR related services to all employees company-wide with a focus on the San Diego & Vacaville locations. This position will be based out of Vacaville, CA and light travel may be expected to the San Diego,

CA location. The HR Department is committed keeping the “Human” in Human Resources by providing high quality service to all prospective, current, & past employees, and to treating such individuals with respect, good care, and individual attention. The ideal candidate will have a passion for talent acquisition and engagement in all facets of an HR Generalist including recruitment & retention, training & development, employee engagement, and benefit administration.


Duties & Responsibilities:


1) Assist with end-to-end recruitment lifecycle for various positions.

2) Partner with hiring managers to define hiring needs and objectives.

3) Maintain and revise job descriptions for new and existing positions.

4) Administer job postings in various software systems/platforms.

5) Enters and tracks candidate data in Applicant Tracking Systems (ATS).

6) Lead and oversee scheduling of panel interviews, working with hiring managers and key stakeholders.

7) Assists with completing candidate hiring/onboarding processes.

8) Prepare workstations for all new hires prior to start dates; including working collaboratively with IT Team and overseeing onboarding helpdesk tickets.

9) Order and maintain business cards for all new hires and existing staff as needed.

10) Conducts tours and introductions for all new hires.

11) Completes Forms I-9, verifies I-9 documentation, & maintains I-9 files.

12) Conduct new-employee background checks.

13) Stay vigilant of compliance updates on the local, state, and federal level.

14) Assist with researching and developing new procedures to maintain employee handbook, policies, & procedures.

15) Support the performance management program.

16) Performs customer service functions by answering employee requests and questions.

17) Assist with employee engagement initiatives.

18) Support internal and external audits.

19) Promote an environment of positive employee relations, maintaining confidentiality, establishing trust and credibility.

20) Performs other duties and special projects as assigned.


Skills & Competencies


  • Ability to maintain confidentiality, tact, & diplomacy; embodies integrity.
  • Knowledge and demonstrated experience in at least two human resources areas including: recruitment & retention, training & development, employee relations, employment & labor law, and benefit administration.
  • Demonstrated proficiency with business applications such as Microsoft Office Suite, HRIS, and familiarity with collaborative tools such as Teams and Zoom.
  • Strong understanding of recruitment software platforms such as LinkedIn, Glassdoor, ZipRecruiter.
  • Ability to understand the basics of benefit administration, including familiarity with EaseCentral software.
  • Strong analytical, critical thinking, problem solving, judgement, and influencing skills.
  • Excellent in exhibiting professional verbal & written communication skills
  • Ability to plan, organize, and multi-task to complete assignments in an efficient manner.
  • Ability to organize and prioritize work and special projects.
  • Ability to work independently and with a team.
  • Stellar organizational skills and attention to detail.
  • Strong business acumen.


Education & Experience


  • Bachelor’s Degree in HR Management, Business Administration, or related field.
  • Minimum 3 years of related experience required.
  • HR experience working with employees spread out across various offices.
  • Experience with an online Applicant Tracking System (ATS) or candidate relationship management system preferred.
  • Experience with Adobe Illustrator, SharePoint, DocuSign, & Canva ideal but not required.
  • Strong service orientation and experience supporting employees, teams, and managers.
  • Must be able to lift up to 15 pounds and sit for long periods of time at a desk working on a computer.
