The 3-time WNBA Champions Los Angeles Sparks are looking for an Executive Assistant/Office Manager. The Executive Assistant/Office Manager will handle the day-to-day operations for managing the office of the Los Angeles Sparks President with a focus on creating efficiencies and organization. This position will report to the President and provide support to the General Manager. The Executive Assistant/office manager will handle day to day tasks such as managing calendars, travel coordination, clerical work, along with additional responsibilities at the request of the President. The Executive Assistant/Office Manager should be well-organized, have great time management skills, pays high attention to detail, and takes input from multiple stakeholders. The Executive Assistant/Office Manager will display high levels of discretion and be able to interact with people of all levels in a confident, professional manner in a fast-paced environment. This is a non-exempt position.


Principal Duties and Responsibilities:

  • Handling various operational functions of the Office of the President
  • Act as liaison/gatekeeper for access and communication to and from President, such as answers executive's calls, screens calls, and takes detailed messages.
  • Provides support to Executive Staff with special tasks or projects when requested
  • Organizes mail and other executive paperwork, forwards to appropriate party and/or responds independently as appropriate calling attention to priorities.
  • Manage and maintain the President’s calendar by planning and scheduling meetings, conferences, teleconferences, travel, and day to day needs.
  • Makes business travel arrangements and prepares detailed travel itineraries.
  • Coordinating President’s game day guest ticketing, documents and maintaining records for the President as needed
  • Provides research and data pertaining to potential clients, locations, and any outside party per the President's request.
  • Prepare expense reports for review & submit to accounting for approval.
  • Liaise with sports industry partners as needed.
  • Gatekeeper for office reception area; assist staff and advise/greet all visitors.
  • Perform general office clerk duties and specific tasks designated by the President.
  • Maintain office equipment (IT, copier, phones, postage, printers); act as liaison with maintenance vendors, call for service when needed, etc. Procure quotes for new equipment as need arises, meet with company representative, and provide a report to the President.
  • Maintain office supplies inventory by checking stock to resolve inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Ensure cleanliness and overall organization of all areas of the office at all times, including reception, conference rooms, kitchen, and general common areas
  • Oversee planning and logistics associated with events and meetings
  • Liaise with Fed-Ex, UPS, USPS, etc. for all incoming and outgoing packages
  • Assist as needed with facilities management inquiries for the office.
  • All other duties as assigned.


Qualifications:

  • 5+ years Executive Assistant experience or administrative experience supporting senior management working in a fast-paced and highly confidential environment.
  • Excellent written and verbal communication skills.
  • Highly professional with excellent judgement
  • Positive, self-motivated attitude, and proven self-starter
  • Strong analytical capabilities and judgement in order to identify and implement effective solutions while under time pressure.
  • Proficient with various Microsoft Office applications including, but not limited to word, excel, PowerPoint and outlook (email and calendar)
  • Detail-Oriented with organizational skills, ability to multi-task, scheduling, and clerical duties
  • Experience handling complex and ever-changing schedules.
  • An understanding of the professional sports industries is a plus.
  • BA or BS Degree preferred.
  • This is an in-office position.
  • Flexibility to work beyond normal office hours, when required.
