Working as the right-hand Assistant (like an EA) to the Head of Grants Management Team, Jamie Staugler. Jamie can be demanding and need someone with experience who can handle a lot with a busy, high profile boss.
Jamie has a few direct reports, so additional support needed for 2 or 3 at times; must be okay with supporting a small team as needed
History of the hire: there has been more of a team coordinator profile (more junior) working the job but not enough depth of experience to manage it effectively, determined they need more of an EA profile; need a bit more maturity and experience
She’s doesn’t travel BUT she has a really, really busy schedule – meetings, calendar, changing all the time, internal/external stakeholders, lots of moving parts
Data analytical experience – pulling information from the database for grants and relaying it to her as needed, someone comfortable with data
Prepping for meetings – pulling research online, drafting memos, etc.
Someone adept at managing change and diverse management/communication styles
Overall it is a young team so need someone who will work well with that culture – can be a seasoned candidate but must be dynamic and proactive in their way.
GRANTS MANAGEMENT ASSISTANT:
Philanthropic Foundation is seeking a new Assistant for their Grants Management team. The team is looking for a team player who can manage multiple priorities, work with many stakeholders, and thrive in a fast-paced, results-driven environment.
Responsibilities Include:
Provide day-to-day administrative support to the Grants Team Lead and Operations Lead
Manage calendar(s), including scheduling appointments and arranging meetings
Ensure team projects are on schedule and deadlines are being met
Data entry: maintain data quality and integrity across range of platforms
Prepare briefings, presentation materials, reports and analysis
Coordinate travel arrangements, as needed, including flights, ground transportation, hotels, etc.
Support Grants Team events, including compiling invite lists, drafting correspondence, tracking attendance, and providing day-of assistance
Qualifications Include:
Bachelor’s degree required
A minimum of 5 years of experience as an Administrative Assistant supporting a senior manager, in a fast-paced, high-performance work environment
Demonstrated interest in non-profit organizations
Outstanding interpersonal and communication skills and the demonstrated ability to effectively interface with senior level colleagues, both verbally and written
Ability to protect confidential and sensitive information of the organization
Proficient in MS Suite specifically Outlook, Word, Excel, and PowerPoint
