Our client is seeking an experienced administrator with superior organizational skills and strong operational aptitude to provide wide-ranging support to his Chief of Staff. The right person is highly attuned to security considerations. This is a newly created role based in the family’s Boca Raton office.


Your responsibilities would include:

  • Work collaboratively with the Chief of Staff and other team members.
  • Help implement best administrative practices with security measures as the focus of all decisions.
  • Maintain and monitor calendars, schedules, projects, and tasks.
  • Perform walkthroughs and inspections of the Florida residences to confirm that high standards are being met by household staff
  • Manage the Florida domestic staff and liaise with team members in other locations.
  • Manage and strengthen relationships with key vendors and contractors.
  • Represent the principal with architects, attorneys, and other key stakeholders.
  • Develop and maintain key internal documents (handbook, House Manual, SOPs)
  • Undertake all tasks with an understanding of compliance, HR issues, insurance, risk assessment, etc.
  • Help implement and train team members
  • Organize and manage important personal documents (passports, visas, registrations, insurance).
  • Manage and execute special projects as requested.
  • Offer concierge services and run errands as needed.


Qualifications:

The right candidate will be a systematically organized, efficient, self-starter who can juggle multiple competing priorities simultaneously. Individuals who exercise impeccable discretion, display independent judgement, and are anticipatory to the needs of the team will do well in this role. You should have an eye for detail and excellent oral and written communication skills in English.

A strong understanding of cyber security is preferred.

A minimum of a bachelor’s degree is required. A master’s degree in a related field is a plus.

Candidates must have multiple verifiable references.


Schedule:

Generally, Monday through Friday, business hours, with flexibility required for additional hours and some weekend work. To be successful in this role you should have a 24/7 support mindset.


Compensation:

Compensation commensurate with experience, $210,000 base with benefits that include an annual discretionary bonus, a healthcare stipend, PTO, paid holidays, and sick days.
