General Description

The Chief of Staff (COS) is key to ensuring that the CEO can strategically and effectively lead BSF through a critical high-growth period. The COS will be a “force multiplier" for the CEO, helping her to perform more effectively and efficiently, and ensuring the departments interact effectively with the CEO’s office. The work will include considering highly strategic opportunities as a thought partner to the CEO and involves tactical responsibilities such as drafting letters and ensuring the right people are in meetings.

This is a highly confidential position and is best suited to a person who values trust and loyalty and has the ability to work closely with the CEO as an individual. Due to the nature of the role, preference will be given to internal candidates who demonstrate the skills and vision required for the position.

Key Job Functions

  • Serve as a trusted advisor and brainstorming partner to the CEO
  • Coordinate CEO meeting preparation (meeting timing, read-aheads,), execution (agenda-setting, correct attendees), and follow-up (disseminate action items and notes, ensure timely follow-up with external stakeholders)
  • Manage CEO trips to ensure the highest, best use of time (coordinate outreach for meetings, oversee trip book production, etc)
  • With input from other appropriate departments Draft or edit reports, speeches, presentations, and other communications on behalf of the CEO in her voice and style of writing, and in alignment with the Blue Star Families mission.
  • Attend and/or fill in for the CEO in meetings
  • “Connect the dots,” as needed, to support cross-functional teams working on specific projects
  • Proactively address pressing business issues that need immediate attention by CEO (i.e., ability to “look around corners”)
  • Serve as a liaison between the departments and the CEO by
    • Providing daily updates to:
      • Expedite items for CEO approval
      • Obtain answers to questions from the CEO
      • Ensure the CEO completes high-priority to-do list items
      • Offer visibility to the CEO and other C-Suite members on developments on key projects
    • Working with all departments to ensure communications from the CEO are drafted and sent as needed to support organizational objectives (e.g., special event invitations, donor communications, etc.) in collaboration with the scheduling assistant.
    • Advising on high-profile event invitation lists
  • Support the CEO in the preparation of Presentations, in collaboration with appropriate departments.
  • Perform other duties as assigned
  • Monitor progress on CEO requests, including project updates, meeting scheduling
Required Experience, Skills, Background

  • Bachelor’s degree
  • Experience in the MSO / VSO space
  • Excellent writing skills
  • Experience with writing content for editorials, white papers, grant proposals, blogs or newsletters
  • High EQ (emotional intelligence) ability to engage diplomatically and with poise in a high-tempo setting
  • Ability to think quickly, and adapt to fast-changing situations
  • Excellent organizational skills and high “executive function” skills
  • Excellent verbal and presentation communication skills
  • Ability to work flexibly in line with the organization’s objectives and willingness to undertake other duties as reasonably requested.
  • Ability to travel overnight on an as-needed basis
  • Ability to work nights, weekends, and holidays as necessary to carry out key job functions

Desired Experience, Skills & Background

  • Experience working with both remote and in-person teams
  • Public speaking
  • Public policy experience
  • Experience with Google Drive applications including Documents, Sheets, and Slides
  • Understanding of Customer Relationship Management (CRM) systems; practical experience with Salesforce preferred
  • Experience with Hive (project management tool)
  • Cultural competence in the military veteran space
  • Experience writing and pitching fundraising proposals
