Job Description

Position Overview:

Under the direction of the University Registrar, the ARSO is the primary professional staff position within the Office of the University Registrar to ensure all aspects of the services provided by the Office of the Registrar provide a positive experience for Wentworth students with an emphasis on internal standard operational, cyclical Registrar communication and developing a series of training and onboarding sessions for new and current support staff in the five schools and the Success Studio.


ESSENTIAL FUNCTIONS: 

  • Develop and recommend policy, process, and resource changes to achieve program and project goals. Lead planning and progress meetings; set operational planning calendar; monitor project progress and determine benchmarks and milestones to evaluate operational success.   
  • Anticipate and respond to changes in university services and policies while representing the Division’s and its students’ interests; determine how best to implement new policies and procedures. Develop and apply expert knowledge of systems and data flows to support Registrar's Office efforts to improve student services; recommend changes with an eye toward sustainability and student experience.  
  • Create and organize registration and resource content for public-facing websites and student communications; serve as a resource for the office Communications Coordinator in managing content and developing a student communication plan, ensuring appropriate and tailored messaging to large and varied student populations. 
  • Support the Registrar's Office in implementing new SIS and other third-party applications. Assist in the development of automation of current processes in the Registrar’s Office. Maintain communication with DTS for updates to the student system; thoroughly test all new functions before launch and respond to any issues related to student registration and other initiatives as needed. 
  • Oversight of New Student Orientation: Reporting, organization, and coordination of all aspects related to registration, check-in, attendees, change of major, no-shows, and follow-up with Admissions and students’ programs. Liaison with New Student Orientation, Admissions, and Academic Schools to coordinate all aspects of new student onboarding majors.  
  • Maintain and communicate AP, Dual Enrollment, and PLA processes for incoming new students.  
  • Maintain all web content for the Registrar’s Office, both internal and external. Develop and conduct a series of training models to meet the needs of students and the community according to the Academic Calendar.   
  • Develop Communication Management Tools using models and workflows and combine communication efforts with Day/Graduate programs and the cyclical planning calendar for the Registrar. Contribute more broadly to the development of UG and GR university policies. 
  • Oversight and coordinate Start and End of Term Processes by generating reports specific to SOT and EOT for all students, including grading, academic standing, prerequisites, and duplicate course process. Academic and judicial sanctions approved by Academic Deans, Dean of Students. 
  • Create and analyze complex reports to streamline enrollment and academic planning processes.  
  • Assist student information systems implementation and support; assist in establishing short- and long-term technology priorities and implementation plans for key initiatives.  
  • Provide ongoing training and documentation. Collaborate with Registrar in formulating Registrar policies and procedures; make recommendations to improve registration processes. Build and maintain relationships with the schools and across the university.  
  • Work with ARTSR to ensure compliance with university policies and procedures and applicable legal rules and regulations. 
  • Study Abroad: Complete the EOT process for Exchange Students – send final transcripts to home schools. Serve as the contact person for WIT students participating in Study Abroad programs and communicate academic information as requested. 
  • Supervise and support the Assistant Director of Transfer and Articulation to enhance the student transfer experience.  

ADDITIONAL FUNCTIONS: 

  • As a member of the University’s professional, academic coordination effort, the ARSO will be called upon to provide services within their sphere of competency on special projects. 
  • Maintain the highest level of confidentiality and use discretion when supporting students, their families and working with sensitive student information. 
  • Perform other duties and assignments as directed by the supervisor or their designee.

Ellucian Self-Service Banner 9 (SIS, registration) , CAPP (degree audit), EAB Navigate (advising), CourseLeaf (Catalog, Class Scheduling), Argos (Banner data reporting), National Student Clearinghouse (Transcript, Verification), CourseLeaf (Curriculum) Launch in Fall 2024 


Minimum Qualifications:

  • Bachelor's Degree
  • A minimum of 5 years experience in Higher Education
  • A minimum of advanced level of integrated student information system: Banner is preferred


Preferred Qualifications:

  • Master's Degree
  • Minimum of 5 years of increasingly responsible operations experience utilizing computing hardware, software, and design in technical or professional analysis and resulting program implementation.
  • Demonstrated ability to use a variety of software systems, including but not limited to: site design, working knowledge of Microsoft Office with advanced experience with Excel; WEB site design, working knowledge of a BI tool, i.e., ARGOS/SQL DEVELOPER/COGNOS/TOAD and hands-on experience in performing multi-faceted and complex data queries.
  • Ability to adapt quickly to changing technology
  • Assist in the development of automation of current processes in the Registrar's Office.
  • Committed to working with diverse student and campus populations and to "student-centered" services.
  • Ability to effectively communicate with various constituencies: students, faculty, and administrators.
  • Ability to work independently on multiple tasks with high accuracy prioritize tasks, handle confidential information, and meet deadlines.
  • Strong problem-solving, training, and leadership/supervisory skills.
