Job Summary:

The Assistant Property Manager position, under the supervision of the Property Manager, is responsible for assisting in all areas defined as part of the Property Manager job description. Including but not limited to all aspects of the day-to-day operations of assigned properties, including all maintenance and repair, tenant relations, owner relations, budgeting, monthly financial reporting and capital planning. The Assistant Property Manager handles all tenant complaints and requests and is knowledgeable of the terms of tenant leases. Additionally, the Assistant Property Manager is responsible for the preparation of the annual budgets and the monthly reporting on the financial performance of the properties.

Specific Duties:

Provide excellent tenant service. Respond to tenant requests/problems in a timely and courteous manner and generate work orders directed to vendors and maintenance staff. Follow-up with tenants to insure satisfactory resolution of any issues. Proactively manage the property to minimize tenant complaints. Arrange for 24-hour emergency coverage for the property at all times.

Provide excellent client service. Ensure all reports and budgets are completed accurately and submitted on time.

Oversee all vendors and contractors working at the property to maintain a high standard of performance in accordance with the terms of contracts and the expectations of the owners and tenants. Ensure all vendors and contractors provide proper proof of insurance coverages in accordance with the terms outlined for each property.

Conduct periodic inspections of the property and tenant spaces to ensure upkeep of the property. Prepare inspection reports and follow up with maintenance staff to ensure deficiencies are remedied.

Prepare and present to ownership the annual operating budgets which include leasing assumptions for the coming year, commissions, tenant and capital improvements, energy costs, life safety systems and all other income and expense categories of the P&L.

Review and properly code all invoices for the property prior to Property Manager approval. Prepare Work Orders, Tenant Requests, Service Contracts, and certified reports to Lenders for Property Manager review and approval.

Read and abstract all new lease documents, enter terms in Yardi Voyager and prepare monthly tenant billing reconciliation packets for Property Manager review and approval.

Specific Duties Continued:

Prepare monthly financial reports for the properties and provide ownership with a summary of operations, including leasing activity variances to the budget, tenant issues, and capital projects.

Assist Leasing Brokers with the procurement of construction estimates for prospective and renewing tenants.
