POSITION SUMMARY

The role of Assistant Project Manager will have duties split between managing the calendar and day-to-day administrative tasks for the President of well-established restaurants, personal assistance and household management at her private residence as well as support with new and ongoing restaurant projects as directed.


ESSENTIAL JOB RESPONSIBILITIES (these are not all-inclusive):

  • Work closely with the President to coordinate any and all personal needs.
  • Respond in real-time to urgent inbound requests and scheduling updates for President.
  • Provide high-level Personal, Administrative and Clerical support for President.
  • Work in conjunction with the President’s Executive team to ensure that nothing is overlooked in her personal or professional calendar, including family events, household needs, etc.
  • Arrange and support with travel and accommodation for President as needed.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature.
  • Determine appropriate course of action, referral, or response while in constant communication with the President.
  • Ensure priorities are managed; daily and long-term requests are addressed.
  • Receive incoming communication or memos – review contents, determine importance, and summarize and/or distribute contents.
  • Schedule and attend meetings as needed, taking notes and recording minutes.
  • Draft correspondence and prep mailings.
  • Organize and maintain filing systems.

  • Perform additional personal and admin tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
  • Help with special projects as assigned.
  • Be highly organized and able to work independently.
  • Support with several projects simultaneously.
  • Work closely with President, Chief Hospitality Officer and Project Manager on all new and existing restaurant projects.
  • Support Project Manager with design presentations, preliminary space plans and 2D, 3D design concept studies and sketches.
  • Assist with floorplans, elevations, details, reflected ceiling plans, furniture plans, shop drawings, materials and finish schedules.
  • Support with field measures and existing building conditions.
  • Support with communication to design team, clients, consultants, contractors and vendors.
  • Regular onsite visits of restaurants and daily travel.
  • Perform additional duties as assigned.


KNOWLEDGE, EXPERIENCE, AND SKILLS

  • Must have weekend availability and be willing to work a flexible schedule
  • Bachelor's degree in Business Administration or related field preferred
  • At least one year of related experience is required
  • Proficient in Project Management software including AutoCAD, Adobe CS a plus
  • Excellent oral and written communication skills in the English language
  • Familiarity with Microsoft Office, Outlook applications, FF&E procurement and software
  • Ability to work independently and in a team environment
  • Ability to complete tasks with accuracy and strong attention to detail
  • Excellent multi-tasking ability, highly organized with great attention to detail
  • Exceptional customer focus and management of vendor relationships
  • Excellent record-keeping skills and attention to detail
  • Be self-motivated, passionate, a great communicator and strong work ethic
  • Ability to work in a dynamic environment
  • Excellent time management skills. Proven ability to prioritize, adhere to deadlines, and perform multiple tasks in a fast-paced, creative environment with grace and ease.

PHYSICAL REQUIREMENTS

  • Ability to perform essential job functions consistently, safely, and successfully with the ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
  • Must be able to lift and carry up to 25 lbs at times.
  • Moving about on foot to accomplish tasks, particularly frequent movements from place to place within the work area and property. Bend, lift, carry, reach/extend arms, and hands above shoulder height frequently, or otherwise move in a constantly changing environment.
  • Climbing steps regularly
  • Prolonged periods sitting at a desk and working on a computer.


COMPENSATION

The base pay range for this position is $80,000-$85,000 per year. The determination of what a specific employee in this job classification is paid within the range depends on a number of factors, including, but not limited to, prior employment history/job-related knowledge, qualifications and skills, etc.
