EMPIRE is looking for an Accounts Payable (A/P) Specialist to join our team. The A/P Specialist’s primary role is to account for credit card charges incurred on the American Express and BREX platforms and ensure that they are booked properly into the company’s proprietary royalty accounting system and NetSuite. Additional duties include A/P research and analysis and other operating financial support as needed. This role reports to the A/P Manager.

This position requires a motivated individual comfortable with working on a team in a smaller accounting department, and who can take initiative in researching and resolving A/P issues.

Job Responsibilities

  • Credit Card Transaction Processing:
    • Review and account for credit card transactions in an accurate and timely manner.
    • Work with card users to identify their transactions and properly code them for the G/L and client recoupment.
    • Verify the completeness and accuracy of supporting documentation for each transaction.
    • Enter payment details into the accounting system, ensuring adherence to company policies and guidelines.
    • Maintain accurate and organized records of credit card transactions, invoices, and supporting documents for auditing purposes
  • Reconciliation and Reporting:
    • Reconcile credit card statements with internal records to identify discrepancies and resolve any issues promptly.
    • Generate regular reports summarizing credit card transactions, outstanding balances, and discrepancies for management review.
  • Vendor Communication:
    • Collaborate with vendors to address payment inquiries, resolve billing discrepancies, and ensure smooth payment processing.
    • Establish and maintain positive relationships with vendors to facilitate efficient communication and problem resolution.
  • Process Improvement:
    • Identify inefficiencies in the credit card processing workflow and recommend improvements to enhance accuracy, speed, and efficiency.
    • Participate in process improvement initiatives within the accounts payable department.
  • Team Collaboration:
    • Collaborate effectively with other members of the accounts payable team, finance department, and cross-functional teams to achieve departmental and organizational goals.
    • Provide support and training to colleagues on credit card processing procedures when necessary.
    • Respond to inquiries from the CEO, other members of the EMPIRE team, and tax advisors and auditors.
    • Support senior financial management with special projects and workflow process improvements.
    • Assist with digital marketing campaign payment activity.
    • Participate in ad hoc projects.
Requirements

  • BA/BS (accounting or business education preferred) or equivalent experience.
  • 1-3 years prior accounts payable experience.
  • Proven experience processing a significant volume of credit card transactions.
  • Must be computer proficient, technologically savvy, and able to thrive in a dynamic setting.
  • Experience with ERP Systems such as NetSuite and virtual payment platforms is a plus.
  • Proficient in Microsoft Office applications with excellent Excel skills and experience working with large data sets.
  • Ability to work independently to complete tasks, solve problems and research, and resolve accounting issues.
  • Problem-solving skills and the ability to handle confidential information with discretion.
  • Organized with strong time management skills.
  • Ability to multi-task, work under pressure, and meet deadlines as required.
  • Entertainment or Travel Industry experience is a plus.
  • Excellent communication skills, both written and verbal.

Pay Range: $65,000 - $90,000/annual salary + benefits + discretionary bonus

The base pay actually offered will take into account internal equity and also may vary depending on the market location, job-related knowledge, skills, and experience among other factors. The total compensation package for this position may also include other elements dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment.
