This includes understanding the scope of your work, your priorities, and the areas where you have the authority to delegate tasks. Identify suitable tasks for delegation, Not all tasks can or should be delegated. Identify those that are suitable to be delegated, such as repetitive activities, smaller projects, or tasks that are within the purview of someone else on the team.

All tasks cannot be delegated, however knowing what to delegate, identifying the right people (based on individual's strength and goal), provide right resources, training and level of authority, defining the desired outcome, establish the clear communication channel, give credit for the job done are some effective ways to delegate the task managing our own workload

Setting expectations helps avoid any miscalculations. A well defined expectations provide a strong understanding of each other’s roles, what are their assignments and how they should be executed. If you want to have a well defined expectation, try out new things or maybe things you have never tried out ever in the first place. Learn new things, build new hobbies and it will definitely help you to have a clear expectation from either yourself or others.
Equipping your team with the necessary resources and support is a cornerstone of effective delegation. Whether it's access to specific tools, additional training, or guidance from more experienced colleagues, ensuring that your team has what they need to complete their tasks is your responsibility as a leader. This not only helps them achieve their goals but also demonstrates your commitment to their success.

Making resources available to your team whose roles in the project are clearly defined will ease the pressure of the project leader, reduce interference, improve team motivation and independence. Once resources are provided, as a Project leader you should conduct regular check-ups to ensure everyone is on track and no one is screwing up his/her task. It’s okay to trust your team, but always ensure checks and balances.
Encourage your team members to take ownership of the tasks you delegate to them. This means giving them the autonomy to make decisions within the scope of their responsibilities. When team members feel a sense of ownership, they are more likely to be motivated and produce high-quality work. Additionally, it builds their confidence and skills, which is beneficial for current and future projects.

While it's important to trust your team, you also need to monitor progress to ensure that everything is on track. Regular check-ins and updates will help you catch any issues early on and provide assistance if needed. This oversight should be supportive rather than micromanaging, allowing team members to feel trusted while also knowing that guidance is available when required.

The biggest mistakes Project Leaders make is to entirely trust their team and give up on check-ins. Humans are susceptible to mistakes and failures, so a team initial projects successes doesn’t necessarily erase all the factors of project failures. Your intention is to manage workload and free up time to focus on higher priorities, but without effective management and monitoring that might worsen.
Be prepared to make adjustments based on the feedback and progress reports from your team. Delegation is not a set-it-and-forget-it process; it requires ongoing attention and flexibility. If a team member is struggling with a task, offer help or reassign the work if necessary. The goal is to achieve the best outcome for the project while also supporting your team's development.
